Administrative Assistant

Organizational Overview

Turbeville Insurance Agency was founded in 1991 by Bill Turbeville, Jr. as a full-service Independent Insurance Agency and has grown to include four office locations (Beaufort, Charleston, Columbia and Lexington). The agency works with over 70 carriers allowing us to write coverage for personal lines, commercial lines as well as life and health policies.

Position Overview

The Office Assistant is a full time, in office role that plays an integral role of the Personal Lines Operations by providing support to the PL account Managers and PL producers through policy management, client file quality control, and agency bill invoicing. The PL assistant must be detail oriented, able to multi-task and have a willingness to support all staff through various processes.

The following is a list of the essential functions of this position. This list is intended to be representative of the tasks preformed within the position description but is not limited to:

  • Prepare and process all requests for certificates of insurance as required within 24 hours of request. (Cert request before 12:00pm will be out before 5:00 pm same day and request after 12:00pm will be out before 12:00pm next day.)

  • Prepare and process renewal certificates.

  • Prepare Auto Id Cards for renewals and daily Request for Auto Id Cards.

  • Prepare EOP and deliver for lender/Insured’s - change on active policies as needed.

  • Run MVR’s as needed for Account Manager.

  • Process FR10’s, FR31’s ect., in the ALIR system.

  • Requesting/Running Loss Runs Reports from Various Carriers at the request of the CL Account Manager.

  • Order change Requests, update XE and add appropriate follow up note.

  • Assist CL Account Manager with Follow up activities as needed. – (ex. Sending second request on endt. Req. processing endorsements, processing simple renewal policies, following up on intent to cancel.)

  • Invoice all Agency Bill premium bearing transactions.

  • Maintain all client activity in the agency automation system.

  • Review/Inquire on Insured’s billing for PL Account Manager

  • Assist with reviewing simple policies and maintaining the agency management system.

  • Prepare policy cover letter as requested for renewals to be mailed out.

  • Put policy binders together for deliver to insured from producers.

  • Assist with client service at the direction of Agency Management.

  • Perform additional duties/functions/tasks or special projects at the direction of Agency Management.

  • Other duties as assigned

Experience:

  • SC P&C Insurance License preferred

  • SC Broker License Preferred

  • SC LAH License Preferred

  • Two Years’ experience in Commercial Lines via an insurance agency environment preferred

Education:

  • High School Diploma or Equivalent Required

The employee may occasionally lift and/or move up to 20 pounds and team lift in excess of 20 lbs. Specific vision abilities required by the job include close vision, distance vision, depth perception, and the ability to adjust focus.
